Annex 1: Data Processing Agreement. Annex 2: Subprocessors.
1. Who we are
1.1. The Service is provided by:
Softlane sp. z o.o., a limited liability company incorporated under Polish law, ul. Budowlanych 35/65, 43-100 Tychy, Poland, entered in the register of entrepreneurs of the National Court Register (KRS) kept by the Sąd Rejonowy Katowice-Wschód w Katowicach, VIII Wydział Gospodarczy Krajowego Rejestru Sądowego under KRS number 0001146400, VAT ID PL6463017566, share capital 5000 PLN.
In these Terms, "we", "us" and "our" mean that company, and "you" means the business that creates an account. You can reach us at [email protected].
1.2. These Terms are our terms of service within the meaning of Article 8 of the Polish Act of 18 July 2002 on Providing Services by Electronic Means. They are available free of charge at this address before you sign up, and you can save or print them at any time.
1.3. Annex 1 (Data Processing Agreement) and Annex 2 (Subprocessors) form part of these Terms. How we handle personal data as a controller (for example, your account details) is explained in our Privacy Policy; the cookies and similar technologies we use are listed in our Cookie Policy.
2. Business use only
2.1. The Service is intended only for businesses: companies and other organisations, and individuals running a business (for example, freelancers and sole traders), who use it in connection with their business or profession. It is not offered to consumers.
2.2. By creating an account, you confirm that you are using the Service for your business. If you create an account on behalf of a company or another organisation, you confirm that you are authorised to accept these Terms on its behalf. You must be at least 18 years old.
2.3. Sole traders with consumer-like protection. If you are an individual who concludes the agreement directly in connection with your business, but the agreement is not of a professional nature for you (in particular in light of the business activities you have registered), Polish law gives you certain protections that normally apply to consumers: protection against unfair contract terms (Article 3855 of the Polish Civil Code) and the rights described in Article 7aa of the Polish Consumer Rights Act, including the right of withdrawal (see section 9). Any provision of these Terms that those rules do not allow in your case does not apply to you, and the statutory rules apply instead.
2.4. If, despite your declaration in section 2.2, mandatory law treats you as a consumer, these Terms apply to you to the extent that law allows, and any provision it does not allow does not apply to you.
3. The Service
3.1. The Service lets you:
- log your work as tasks (date, hours, topic, description), as a list or in a calendar;
- use optional AI features: generating a task title or description from your keywords, refining text you wrote, and Auto-fill, which proposes a day-by-day breakdown of a period from your instructions;
- set up agents: a description of your business or of a client, a report language and how much past work the AI may take into account;
- generate PDF reports (timesheets) from your tasks, store them and download them.
3.2. The Service is available on a free plan and on paid plans. What each plan includes (such as the number of AI credits, how far back the AI looks into your history, and which features are available) is described on our pricing page. For a paid plan, the description in force when you buy or renew it applies to that billing period.
3.3. AI features are optional. You can log tasks and generate reports without using AI, and those features keep working if our AI provider is unavailable.
3.4. We develop the Service continuously and may add, change or remove features. We will not materially reduce the features of a paid plan during a billing period you have paid for. If we must do so (for example, because a third-party provider stops offering a service we rely on), you may cancel and receive a refund of the unused part of that period. We may change the free plan and its limits at any time; its current limits are always shown on the pricing page.
3.5. Technical requirements. To use the Service you need a device with internet access, a current version of a common web browser (such as Chrome, Firefox, Safari or Edge) with JavaScript and cookies enabled, and an email account.
4. Your account
4.1. You sign up with an email address and a password, and confirm your email address with the link we send you. The agreement for the Service, under these Terms, is concluded when you create your account. You can use the Service once your email address is confirmed.
4.2. Keep your password confidential. You are responsible for activity in your account, unless it results from our breach of these Terms. Tell us immediately at [email protected] if you suspect someone else has accessed it.
4.3. Keep your email address up to date: we use it for messages about your account and these Terms.
5. AI features and your responsibility for reports
5.1. AI features generate text automatically, using third-party AI models (the AI providers we use or may use are listed in Annex 2), from what you enter, your agent's description and, within your plan's limits, your previous tasks. AI-generated text may be inaccurate, incomplete or unsuitable for your purpose. You always see it before it is saved, and you must review it before you use it.
5.2. You are responsible for your reports. The Service is a tool for recording and describing your work; it does not verify or certify anything. You are solely responsible for the tasks you log and for the content of the reports you generate, sign or send, including that the hours, dates and descriptions reflect work actually performed, and for meeting any requirements your clients or the law impose on such documents.
5.3. Use AI features only to describe and plan your work. Each AI action uses AI credits from your plan. AI features have limits on the length of input and output, and we may refuse requests that are not related to describing or planning work.
5.4. As between you and us, the text the AI generates for you belongs to you, on the same terms as your other content (section 6). We do not guarantee that it is unique or that it is protected by copyright.
6. Your content
6.1. "Your content" means everything you enter into the Service or create with it: tasks, descriptions, agent descriptions, Auto-fill instructions, AI-generated text and reports. You keep all rights to your content.
6.2. To provide the Service, you grant us a non-exclusive, royalty-free, worldwide licence to your content, limited to what is necessary to provide the Service to you and for the duration of the agreement and the retention periods in the Data Processing Agreement, in the following fields of exploitation: recording and reproducing it in computer memory and on storage media, transmitting it over computer networks (including to our subprocessors, such as our AI providers when you use an AI feature), displaying it to you, generating text based on it at your request, and rendering it into PDF reports. We may sublicense these rights to our subprocessors only for the same purpose.
6.3. We do not use your content to train AI models, and we use our AI providers only on terms under which they do not use your content to train or improve their models either.
6.4. You are responsible for having the right to use your content in the Service, and for your content not infringing the law or the rights of others. If your content contains personal data of other people (for example, your clients' employees), we process it on your behalf under the Data Processing Agreement in Annex 1.
7. Acceptable use
7.1. You must not:
- provide unlawful content, or use the Service for any unlawful purpose, including creating false records to deceive your clients, auditors or authorities;
- enter special categories of personal data (such as health data) or data about criminal convictions and offences, unless the law allows it and it is strictly necessary for your report;
- attempt to access accounts or data that are not yours, test or break our security, or interfere with the Service or other users' use of it;
- circumvent plan limits or AI credits, for example by creating several free accounts;
- use AI features to generate content unrelated to describing or planning your work;
- copy, scrape, resell or provide the Service to others as your own service without our written consent, or decompile or reverse engineer it, except where the law expressly allows it.
7.2. If you breach this section, we may take the steps described in section 13.4.
8. Plans and payment
8.1. Creem, our merchant of record. Paid plans are sold through Creem (creem.io, operated by Armitage Labs OÜ, Estonia), which acts as our merchant of record: Creem is the seller of the subscription, processes your payment, calculates and collects the applicable taxes (such as VAT), and issues your invoices. The purchase is governed by Creem's terms, which you accept at checkout. We provide the features of your plan under these Terms. We never receive your full card details.
8.2. Paid plans are subscriptions, billed monthly or yearly in advance. Prices are shown on the pricing page; the final price, including taxes, is shown at checkout. Discount codes, where offered, are entered at checkout.
8.3. A subscription renews automatically at the end of each billing period until you cancel it. You can cancel at any time under "Manage billing" in the Service's settings. Your plan then continues until the end of the period you have paid for, after which your account moves to the free plan. Your tasks and reports remain available.
8.4. You can upgrade to a higher plan in the same billing interval at any time. The upgrade takes effect immediately, and the price difference for the rest of the current period is charged at once. Other plan changes are available as shown in the Service.
8.5. We may change the prices of paid plans. If you have a paid plan, we will tell you by email, and the new price applies from your first renewal that falls at least 30 days after we told you. Until then, you keep paying the price you have. If you do not accept the new price, you can cancel before that renewal (section 8.3).
8.6. If a renewal payment fails and is not completed, your paid plan ends and your account moves to the free plan.
9. Refunds
9.1. Payments are not refundable. This includes payments for periods in which you have not used the Service or your AI credits. You can cancel at any time to stop the next renewal (section 8.3); your plan then runs until the end of the period you have paid for.
9.2. As exceptions, we refund the unused part of the period you have paid for when we end the agreement or reduce your paid plan's features (sections 13.3 and 3.4), when you end the agreement because you do not accept a change to these Terms (section 15.2), and where the law requires a refund. We may also refund a payment in other cases, at our discretion.
9.3. To ask for a refund, write to [email protected] from the email address of your account. Refunds are made by Creem to the original payment method.
9.4. Right of withdrawal. If section 2.3 or 2.4 applies to you, you may have a statutory right to withdraw from the purchase of a paid plan within 14 days. Since Creem is the seller (section 8.1), you exercise it as described in Creem's terms, or by writing to us and we will pass it on. If you asked for your plan to start immediately, you pay for the part of the period before your withdrawal.
10. Availability and support
10.1. We aim to keep the Service available at all times, but we do not guarantee uninterrupted availability. We may interrupt it for maintenance, updates or security reasons, and we try to do so at times of low use. The Service also depends on third parties (such as our hosting and AI providers), whose outages are outside our control.
10.2. Support is provided by email at [email protected]. We aim to reply within two business days.
11. Complaints
11.1. If the Service does not work as described in these Terms, you can file a complaint by email to [email protected]. Please include your account's email address, a description of the problem and, if possible, when it occurred.
11.2. We will respond to your complaint by email within 14 days of receiving it. Complaints about a payment can also be sent to Creem.
12. Liability
12.1. We are not liable for: the content of your tasks and reports or of AI-generated text you use (section 5); decisions you or your clients make on the basis of your reports; whether your clients accept your reports; loss caused by your breach of these Terms or by unauthorised use of your account that is not our fault; or interruptions caused by third parties or by events beyond our reasonable control.
12.2. To the extent permitted by law, our total liability to you under the agreement is limited to the amount you paid for the Service in the 12 months before the event giving rise to it, or EUR 100 if that amount is lower, and we are not liable for lost profits.
12.3. The limitations in this section do not apply to damage caused intentionally, or where the law does not allow liability to be limited. To the extent permitted by law, the statutory warranty (rękojmia) is excluded; this does not affect the rights of persons referred to in section 2.3.
13. Term, termination and deleting your account
13.1. The agreement is concluded for an indefinite period.
13.2. You can end the agreement and have your account deleted at any time by writing to [email protected] from the email address of your account. If you have a paid plan, cancel it first (section 8.3); the remaining part of a period you have paid for is not refunded, except under section 9.
13.3. We can end the agreement for any reason by giving you 30 days' notice by email. If you have a paid plan, we will refund the unused part of the period you have paid for.
13.4. If you seriously or repeatedly breach these Terms (in particular section 7), or the law requires it, we may suspend your account or end the agreement with immediate effect. Unless the law prevents it, we will tell you by email what we did and why, and you may reply to contest our decision; we will review it and tell you the outcome.
13.5. When the agreement ends, we delete your account and your content as described in the Data Processing Agreement and the Privacy Policy. Download any reports you want to keep before then.
14. Reporting illegal content
14.1. Your content is private and not shown to other users. Still, under the EU Digital Services Act, our single point of contact for authorities and users is [email protected], in English or Polish.
14.2. If you believe the Service holds illegal content, send a notice to that address with: an explanation of why the content is illegal, information that lets us find it, your name and email address (unless the notice concerns certain offences involving children), and a statement that you believe in good faith that the notice is accurate and complete. We will handle it promptly, diligently and objectively, and tell you what we decided.
15. Changes to these Terms
15.1. We may change these Terms for important reasons: a change in the law or in a decision of an authority, changes to the Service or to how it is provided, a change in our providers, or the need to improve security or prevent misuse.
15.2. We will tell you about a change by email at least 14 days before it takes effect, and publish the new version on this page. If you do not accept the change, you can end the agreement before it takes effect (section 13.2); in that case, if you have a paid plan, we will refund the unused part of the period you have paid for. A change required by law may take effect sooner if the law requires it.
16. Governing law and disputes
16.1. These Terms and the agreement are governed by Polish law.
16.2. Disputes will be resolved by the common court having jurisdiction over our registered office. This does not apply to persons referred to in section 2.3, for whom the court is determined by the statutory rules.
17. Final provisions
17.1. If any provision of these Terms is found invalid, the remaining provisions stay in force. Not enforcing a provision does not mean we waive it.
17.2. We may transfer the agreement to a successor of the Service, for example after a sale of our business, and will tell you by email in advance. If you do not accept it, you can end the agreement before the transfer.
17.3. These Terms are drawn up in English. If we provide a translation, the English version prevails.
Annex 1: Data Processing Agreement
This agreement is concluded under Article 28 of the EU General Data Protection Regulation (Regulation 2016/679, "GDPR") between you, as the controller, and us, as the processor. Where you process the personal data on behalf of your own client, you are a processor, we are your subprocessor, and you confirm that your client has authorised this. Terms defined in the GDPR have the same meaning here.
1. Subject matter and duration
1.1. We process personal data contained in your content (section 6 of the Terms) in order to provide the Service to you, for the duration of the agreement and until the data is deleted under section 6 of this Annex.
2. Nature and purpose of processing
2.1. Storing, organising and displaying your content, generating text with AI at your request, rendering PDF reports, and deleting the data, all solely to provide the Service.
3. Types of data and data subjects
3.1. Types of personal data: names, job titles, contact details, information about work performed, and any other personal data you choose to include in tasks, descriptions, agent descriptions, Auto-fill instructions and reports.
3.2. Data subjects: your clients and their employees and representatives, your colleagues and subcontractors, and other people you mention in your content.
3.3. You must not enter special categories of personal data or data about criminal convictions and offences, unless the law allows it and it is strictly necessary for your report.
4. Our obligations
We will:
- process the data only on your documented instructions, which are these Terms and your use of the Service's features, including for transfers to a third country, unless EU or Polish law requires otherwise (in which case we will tell you first, unless that law prohibits it). We will tell you if we believe an instruction infringes the law;
- ensure that the people we authorise to process the data are bound by confidentiality;
- implement the security measures required by Article 32 GDPR, including those in section 8 of this Annex;
- engage subprocessors only under section 5 of this Annex;
- help you, through the Service's features and on request, to respond to data subjects exercising their rights (the Service lets you view, correct and delete your tasks, agents and reports);
- help you meet your obligations under Articles 32 to 36 GDPR, taking into account the information available to us;
- notify you of a personal data breach affecting your data without undue delay, and no later than 48 hours after becoming aware of it, with the information required by Article 33(3) GDPR that is available to us at the time;
- make available to you the information necessary to demonstrate compliance with Article 28 GDPR, and allow for audits under section 7 of this Annex.
5. Subprocessors
5.1. You give us general authorisation to engage subprocessors. You authorise all subprocessors listed in Annex 2, including those listed as on standby, which we may start using at any time without further notice.
5.2. We will inform you of any intended addition or replacement of a subprocessor that processes your content by publishing it in the list of changes in Annex 2 at least 14 days before it takes effect. If you would like to be told by email as well, write to us and we will do so. You may object on reasonable data protection grounds within those 14 days.
5.3. We impose on each subprocessor, by contract, data protection obligations that offer at least the same protection as this Annex, and we remain liable to you for their performance.
5.4. If you object and we cannot resolve your objection, you can end the agreement before the change takes effect.
6. Deletion at the end of the agreement
6.1. You can download your reports at any time while your account exists. When the agreement ends, we delete your content within 30 days, and its copies in backups within a further 30 days, unless EU or Polish law requires us to keep it.
7. Audits
7.1. On request, we will answer your reasonable written questions about our processing. If that is not enough to demonstrate compliance, you or an auditor bound by confidentiality may carry out an audit, at your expense, once a year, with at least 30 days' notice, during business hours and without disrupting the Service; these limits do not apply after a personal data breach or where a supervisory authority requires an audit.
8. Security measures
- all connections to the Service are encrypted (TLS);
- reports are stored in private storage in the EU, encrypted at rest, and downloaded only through short-lived links issued to their owner;
- passwords are stored only as salted hashes (bcrypt);
- sessions expire after a period of inactivity, and sign-in activity is logged to detect misuse;
- access to production systems is limited to authorised personnel who need it, with the least privileges necessary, and administrative actions on accounts are logged;
- our AI provider is used on terms under which it does not use the data to train its models;
- systems are kept up to date with security updates.
9. International transfers
9.1. Some subprocessors may process data outside the European Economic Area (see Annex 2). We transfer data only where the conditions of Chapter V GDPR are met: on the basis of an adequacy decision of the European Commission (including the EU-US Data Privacy Framework for certified recipients) or the European Commission's standard contractual clauses.
10. Liability
10.1. Liability under this Annex is governed by section 12 of the Terms, without affecting the rights of data subjects under Article 82 GDPR.
Annex 2: Subprocessors
These are the providers that process personal data for us. Those marked "Yes" in the last column process your content (Annex 1); the others process only data for which we are the controller (see the Privacy Policy). Providers marked "On standby" are authorised under Annex 1 section 5.1 but not in use yet; we may start using them at any time, for the purpose stated.

|---|---|---|---|
| OVH SAS, France | Hosting of the application, database and sessions | EU | Yes |

| Google LLC, USA | AI text generation (Gemini API): the text involved in an AI action you start | EU and USA (Data Privacy Framework, standard contractual clauses) | Yes |
| OpenAI Ireland Limited, Ireland (On standby) | AI text generation when Google's Gemini is unavailable: the text involved in an AI action you start | USA (standard contractual clauses) | Yes |
| TypeSafe (typesafe.ai), USA (On standby) | Automated screening of AI requests, to detect requests unrelated to describing or planning work: the text of the request | USA (standard contractual clauses) | Yes |

| Cloudflare, Inc., USA | Cookieless website analytics | Global (Data Privacy Framework, standard contractual clauses) | No |
Creem, our merchant of record (section 8.1), is not our subprocessor: it processes your payment and billing data as an independent controller, under its own privacy policy.
Changes to this list
Intended changes are published here at least 14 days before they take effect (Annex 1 section 5.2).
- 8 October 2026: first version of the list.
